The
Operations Officer,
in a full-time position, has responsibility for planning, coordinating, and
supervising the day-to-day business operations of the Center, and for assisting
in the financial and administrative management of the CSJ. He or she participates
as a key member of the CSJ team, with focus on operational management, student
hiring and payroll, and support for programs and student-run organizations, and
communications. The Operations Officer has duties that include but are
not limited to:
Operational
Management
- Maintains operational matters, e.g., facilities
planning and security, all office keys, mail, office supplies, copy and
fax machines, office equipment checkout, petty cash, off-site storage
management, and other logistical matters.
- Supports the Executive Director (ED), Associate
Director, and Financial and Administrative Officer (FAO) in overseeing
day-to-day operations.
- Recruits, trains, and supervises all student
office workers.
- Provides administrative assistance for large
events.
- Establishes and maintains professional and
cooperative working relationships with all stakeholders: campus colleagues
(payroll, procurement, facilities, and risk management), students, and
vendors.
- Organizes CSJ process logistics, e.g., student
hiring, professional staff interviews, retreats, farewells, open houses,
and guest visits.
- Provides back-up support for the vehicle
administration functions of the Van and Payroll Coordinator.
Student
Hiring and Payroll
- Hires all CSJ student employees in coordination
with the Student Employment Office.
- Works with payroll, human resources, and the
federal work study office to get employees charged properly to the correct
cost centers.
- Tracks FWSA amounts to support the monthly
reconciliations of the program directors.
- Works closely with the Payroll & Van
Administrator to resolve timesheet issues.
Academic
Program Administrative Support
- Works with the Program Director to handle basic
administrative duties (e.g., budget, website, course scheduling),
supervision of the student assistants, processing paperwork to hire
adjunct faculty, and advising undergraduates about the program for the
Program on Justice and Peace (JUPS).
- Supervises FWS student(s), maintains student
files, assists Director in preparing and managing the budget and
scheduling classes; provides information/advice to students; prepares and
disseminates information about the program; updates website; and assists
in the programming of program-related events on campus.
Communications
- Serves as the CSJ’s contact for University
communications systems, including GU website, Events Calendar, and
HoyaLink.
- As manager of these systems, works directly in a
supervisory role with the Communications Graduate Assistant to update
these portals regularly.
Requirements
- Bachelor’s degree
- At least 2 years of professional administrative
experience and proven track record of fiscal management – preferably in
higher education, especially at Georgetown University
- Substantial word processing skills, database and
spreadsheet knowledge
- Strong interpersonal, organizational and
communication skills
- Passenger vehicle license and clean driving
record
- An understanding of and support for the mission
and work of the Center for Social Justice preferred
